BriteDash Store
Product Management

A practical guide to adding products, creating sizes and variants, updating quantities, and maintaining your online catalog.

STARTER EDITION · RESEARCHED OCTOBER 20, 2026

Start with one product

Build and check a complete product first. Use it as your model for the rest of your catalog. The size-and-color example in section 4 shows how to organize individual stock items.

Make a product available in the right store

01

Open the product under Payments > Products. Turn on Include in Online Store, then save.

02

Open Sites > Stores, select your store, and open Products. Check the product's inclusion setting for this store. Changes in this store selection screen save automatically.

03

Open the public store and confirm the item appears where expected. Check the relevant collection as well.

There are two levels of visibility

The product-level toggle makes an item eligible for stores. Store-specific selection controls an individual storefront. New eligible products are included in all stores by default, so review this when an account has several stores. [3]

Before you begin

Prepare a title, description, photographs, selling price, size/color choices, and actual available stock. Use the correct business account. If editing controls are missing, ask your administrator to review Settings > My Staff > your user > Roles & Permissions. Products has separate view, create/edit, import, duplicate, bulk-manage, and delete permissions. [25]

Add your first product

Use this sequence for a physical item such as a shirt, mug, or book.

01

Go to Payments > Products and choose + Create Product. Enter the product title. [1]

Payments > Products: use Create Product to start. Source [1]. Click to enlarge
02

Write the description and add product media. Explain what the customer receives, materials, measurements, care instructions, and any important limitations. Rich text and multiple images/videos are supported. [2,22]

03

Set up pricing: select One time for a normal single purchase, enter the Amount, and confirm the currency. An optional Compare-at Price displays a reference price beside the selling price. [1]

The pricing controls: type, amount, compare-at price, currency, and stock tracking. Source [1]. Click to enlarge
04

If there are sizes or colors, follow section 4 before completing inventory. Each sellable combination needs the correct price and count.

05

Save, then open the saved price or variant to complete SKU, inventory, and Shipping and Delivery details. Use Physical for shipped merchandise and check the weight/dimension units. [6,19]

06

Enable online-store availability, save, and review the correct store's product selection. Check the public listing before promoting it. [2,3]

To edit later: open the existing product, update its details, and save. Review the live listing afterward. [2]

Tax fields in the product editor

BriteDash documents Product Tax Code, Include tax in prices, and manual tax controls. Follow your store's approved tax setup when completing these fields. [24]

If this is a subscription

Use a recurring price with the required billing interval. Enable store availability, then save and publish all store pages so recurring-product presentation is current. Confirm the billing terms on the storefront. [21]

Customer operations guide / 04

Add sizes and other variants

An option is a category such as Size. An option value is a choice such as Small. A variant is the specific combination a customer buys.

Example: one shirt, two option groups

OPTION NAMEOPTION VALUES
SizeSmall, Medium, Large
ColorBlack, White
01

Open the product and locate Variants. Add the option name Size, enter Small, Medium, and Large as separate values, then click Done. [1]

Create an option name and values in the Variants area. Source [1]. Click to enlarge
02

Add another option group for Color with Black and White. Review the resulting combinations. Sizes can also be numbers, such as 6, 7, and 8. [1,22]

03

Check each variant's price, compare-at price if used, and available quantity. Enable inventory tracking for stock-limited variants, then save. [1]

Worked catalog example - illustrative values

VARIANTSKUPRICESTOCK
Small / BlackTEE-BLK-S$25.008
Medium / BlackTEE-BLK-M$25.0012
Large / BlackTEE-BLK-L$27.006
Small / WhiteTEE-WHT-S$25.005
Medium / WhiteTEE-WHT-M$25.009
Large / WhiteTEE-WHT-L$27.000

Three sizes multiplied by two colors gives six combinations. The example has 40 saleable shirts in total, but stock belongs to the individual combinations. Do not enter 40 into every row.

Sizes are product choices; quantity is a count

A shopper selects a size and color, then chooses how many of that item to buy. A size chart belongs in the product information or media; it does not create selectable size choices.

Official resources: [1] Create and sell products · [22] Online store launch: product descriptions, media, variants

Customer operations guide / 05

Maintain individual variants

Review the exact size/color combination before changing its information.

Add or change a size after launch

Open the product and its Variants section. Edit the relevant option values to add the new size or correct a label. Review every affected combination before saving. Then complete the new rows' prices, SKUs, stock, and media. Recheck existing rows as a recommended precaution. [6,22]

For a temporarily unavailable size, keep its variant and use the inventory controls on section 6. For permanent removal, follow the price/variant deletion instructions on section 8.

Open the detailed price or variant record

01

Save new product and variant changes first. Newly added, unsaved prices may show a New tag; their detail pages are available after saving. [6]

A newly created price must be saved before its detail record is available. Source [6]. Click to enlarge
02

Click the saved price/variant tile or its linked name. Complete its SKU, weight, dimensions, and stock settings; save your changes. [6]

Recommended SKU pattern: use one clear identifier per sellable combination, such as TEE-BLK-M. Consistent SKUs help you distinguish similar rows during stock updates.

Assign an image to a size/color combination

01

In the product's Variants section, click the small thumbnail beside the relevant variant. [7]

Choose or upload the image for that variant. Source [7]. Click to enlarge
02

Choose an existing media image or upload the correct image, then save your changes. Repeat for other combinations as needed. [7]

03

Check the public product page. Selecting a variant selects its assigned image. Clicking an image does not select the variant. If no image is assigned, the current image can remain unchanged. [7,8]

The customer’s selected variant can display its associated image. Source [7]. Click to enlarge

Recommended naming practice

Keep size labels consistent across your catalog. For example, use Small / Medium / Large throughout rather than mixing Small, M, and LG without a clear reason.

Customer operations guide / 06

Add or remove quantities

Use stock counts to record the saleable units you actually have for each variant.

01

Go to Payments > Products > Inventory. Search by SKU, product name, or variant name. [4]

02

Find the exact row. Check Track Inventory for stock-limited merchandise and review Continue Selling When Out of Stock. [5]

03

Change the available quantity to the correct remaining total. Save the changes. Use Cancel if you need to discard them. [4]

Save Changes or Cancel after editing available quantities. Source [4]. Click to enlarge
04

Reopen the row and check the saved number. As a recommended check, review the public product page after changing availability.

Common adjustments - examples

WHAT HAPPENEDCALCULATIONNEW TOTAL
Received 10 Medium / Black shirts; 12 were available12 + 1022
Removed 3 damaged units from 12 available12 - 39
Sold 2 units outside this store; 12 were available12 - 210
Physical count finds 7 saleable unitsReplace the recorded count7

What happens at zero?

With tracking enabled, zero stock can make the item unavailable. Keep out-of-stock selling off when you want to stop accepting orders for depleted stock. Turn it on only when you intend to accept orders without available inventory. [4]

Recommended stock discipline

After a store order, inspect the recorded count before making another adjustment. Avoid deducting the same sale twice. For returns, compare the count with the saleable goods received before adding stock back.

The Inventory page requires Save or Cancel before leaving. A missing SKU is displayed as NO SKU; clicking a variant opens its detail record. [4]

Customer operations guide / 07

Update stock in bulk

Bulk inventory changes are useful when several variants need the same adjustment.

01

Open Payments > Products > Inventory. Search or filter to find the relevant products or variants. [5]

02

Select the intended rows, then open Bulk Actions. Choose Update Available Quantity. [5]

03

Enter a value and choose Add or Set. Read the affected-variant preview carefully, then save. [5]

Set replaces each selected variant’s recorded quantity. Review the preview. Source [5]. Click to enlarge

Choose the correct operation

OPERATIONMEANINGEXAMPLE
Add 5Increase each selected row by five units.8 becomes 13.
12 becomes 17.
Set 5Replace each selected row with five units.8 becomes 5.
12 becomes 5.

Adding 5 to six selected variants adds 30 units across the catalog. Setting those six variants to 5 makes the total 30, regardless of their previous counts. These are illustrative examples.

Change tracking rules in bulk

Choose Set Inventory Status to change Track Inventory and/or Continue Selling When Out of Stock. The chosen status overrides the existing settings on the affected rows. Review mixed selections carefully. [5]

Set Inventory Status changes tracking and out-of-stock selling together. Source [5]. Click to enlarge

Confirm the affected rows on every page

BriteDash's changelog says selections can persist across pagination, but also says only current-page items are processed. Treat the preview as the check, process page by page where necessary, and verify the results. [5]

Reducing stock: this documented bulk quantity action offers Add and Set. To remove units, set the correct remaining total; for different totals on different variants, edit their individual quantities. Do not assume a negative Add value is accepted. [4,5]

Hide, duplicate, or remove

Choose the action that matches what you want customers to see.

GOALACTION

Delete a product or a variant

01

For a product, go to Payments > Products, locate the item, click its delete/trash control, and confirm. [9]

02

For a price or variant, open the product editor and use Delete Price or the price/variant delete control. BriteDash does not allow deletion of the last price/variant. [6,9]

Deletion is permanent. Existing orders, transactions, invoices, and subscriptions that contain the product are not necessarily removed. Deleting a product is not a refund or subscription-cancellation procedure. [9]

If Delete is unavailable

Check Products View/Delete permissions. Calendar-created and Memberships/Communities-created products have restrictions; SaaS products with active or past-due subscriptions are protected. Bulk deletion skips protected items. Gateway records may require separate review. [9]

Orders, returns, and downloads

Product maintenance continues after a customer places an order.

Review an order and its payment

Use Payments > Orders to open the order and review purchased items. Use Payments > Transactions for the payment record. Applicable physical orders can be fulfilled from Order Details with shipment tracking information. [2]

Refunds and stock are separate checks

For a supported refund, open Payments > Transactions, use the payment's three-dot menu, and choose Refund. Review the amount; a partial refund uses less than the full amount. Check refund history/status on the transaction. [20]

The Transactions status filter can locate refunded payments. Source [20]. Click to enlarge

Recommended return workflow: identify the original variant, inspect the returned item, and decide whether it is saleable. Review the current inventory before updating it. The sources reviewed do not establish universal automatic-restocking behavior, so verify the recorded quantity rather than assuming a refund changed stock. Keep damaged goods out of saleable inventory.

If you sell digital downloads

01

Open the product's saved price/variant and go to Shipping and Delivery. Choose Digital, upload the correct files, and save. [19]

02

Under Payments > Settings > Notifications, enable Order Confirmation Email for Stores. [19]

Enable the store’s Order Confirmation Email in Notifications. Source [19]. Click to enlarge
03

Optionally edit the Thank You page element, enable Download Digital Products, and save/publish. Test customer access. [19]

The documented limit is 10 files per digital product/variant, up to 100 MB each. Customers verify access by an emailed one-time code in the Customer Access Center. Download controls require uploaded files. Removing all files removes download availability; digital products do not incur shipping charges. [19]

Check your work

Recommended checks for a customer managing an existing store.

After adding or modifying a product

01

Open the public product page in a fresh browser session. Confirm the correct item appears in the intended store and collection.

02

Select each size and color. Check the displayed price, image, and availability. Look for unexpected or missing combinations.

03

Add a variant to the cart and change its purchase quantity. Confirm the variant name and totals remain correct.

04

Review checkout shipping/tax presentation for a representative customer. Use your team's approved test-payment process if completing a test order.

05

If you place a test order, check its item details, confirmation, payment record, and resulting inventory. Check digital access when applicable.

06

Reconcile test inventory and record the changes you made, including the affected SKU and before/after count.

Research notes

Important documentation differences addressed in this edition.

CSV updates: conflicting statements in [12]; use the product editor, spreadsheet view, or Inventory for maintenance. Bulk inventory: conflicting pagination language in [5]; verify affected rows in the preview. Automatic return restocking, variant limits, and automatic redirects after changing a product URL were not verified.

Screenshots are reproduced from the linked official documentation and are retained as originally published. Some documentation images show older layouts or controls; follow the written procedure when the image differs. Source [22] is a historical launch announcement; current recurring-product behavior is covered by [21].

Complete an account-specific walkthrough before treating this as a final screen-by-screen customer procedure. Worked examples, SKU patterns, stock arithmetic, and review checklists are training recommendations.
